Block Management

MyEstate Luton Limited provides practical, transparent block management for freeholders, Right to Manage companies and Residents’ Management Companies.

Our approach combines regular communication, clear financial reporting and proactive coordination of maintenance and compliance.

Our management fee

Our management fee is £250 plus VAT per flat per quarter (£300 including VAT).

The services included are agreed in writing at the outset and ordinarily cover:

  • Preparing annual service-charge budgets.
  • Issuing service-charge demands and monitoring payments.
  • Routine arrears reminders and reporting outstanding balances.
  • Maintaining financial records, processing contractor invoices and providing routine financial updates.
  • Routine site inspections at an agreed frequency.
  • Obtaining quotations and coordinating routine maintenance contractors.
  • Arranging buildings insurance where this forms part of our appointment.
  • Coordinating required safety assessments and monitoring recommended actions.
  • Responding to routine enquiries from directors and leaseholders.
  • Providing access to available building documents and updates through our management portal.

The management agreement specifies the scope of these services, including inspection frequency and meeting arrangements.

Reserve-fund contributions

For blocks where appropriate, we propose a reserve-fund contribution of £100 per flat per quarter towards future planned expenditure.

Together with our management fee, this gives a combined quarterly payment of £400 per flat. This amount covers the management fee and proposed reserve contribution; it is not an all-inclusive service-charge budget.

Reserve contributions are reviewed against the building’s needs, existing funds, planned maintenance and the terms of the leases.

Building running costs

Each building has its own service-charge budget. Costs such as buildings insurance, communal utilities, cleaning, gardening, repairs, safety assessments, equipment servicing and major works are separate from our management fee unless expressly included in the agreement.

These costs are identified and budgeted according to the development’s requirements and the relevant leases.

Additional professional services

Work outside the agreed routine management service may attract a separate fee. This can include substantial major-works coordination, specialist project management, tribunal preparation or attendance, and additional meetings or inspections beyond the agreed scope.

Any additional MyEstate fee will be explained and agreed in writing before that work begins. Independent professional and contractor charges are separate.

Clear communication about expenditure

We aim to anticipate expenditure through sensible budgeting and maintenance planning. Where unforeseen repairs or urgent safety issues arise, we will explain the proposed action, likely costs and funding arrangements as promptly as possible.

We work within our agreed authority and the applicable lease and consultation requirements.
